Sun and Hot Weather Policy

Background
To achieve the FEBC goals, this policy outlines the framework we will apply to support players, coaches and parents during hot weather.
In particular this policy will outline why the policy has been developed, how, what, when and where this policy will be implemented and who will be responsible for its implementation.

Why have a Sun and Hot Weather Policy?
Australians are particularly aware of the dangers presented by excessive exposure to the sun and from undertaking rigorous activities during hot weather.
Parents, as leaders in the community, take every opportunity to impress upon their own and other’s children the importance of remaining well and healthy.
The Board of Directors , as leaders in the club, will support parents to create an environment whilst at our club which is safe in every way possible, particularly with rigorous activities like basketball playing and training during on hot and sunny days.
Volunteers who are members of the Board of Directors of the Forestville Eagles Basketball Club have responsibility for the safety and wellbeing of members of the club from our youngest juniors to our oldest members.
Staff, volunteers, players and coaches in particular and team managers and other members as well all have an expectation that they and their family members will be protected from injury or illness because of hot weather or unnecessary exposure to the sun.

What is the Policy and where does it apply?
JUNIOR PLAYERS
Training
Training will be cancelled or amended when the weather conditions reach the limits set out in “When is the Sun and Hot Weather Policy applied?”
Outdoor Fitness and/or conditioning sessions
Between 1 October and 31 March, all outdoor exercise sessions MUST be completed by 10.30am.
Coaches and Team Managers MUST ensure sun-block (30+ SPF) has been applied to players and all coaching and team managers (or be assured by the player or parent that it has already been applied.
Protective clothing must be worn at all times. (See “Protective Clothing” below)


SENIOR PLAYERS
Training
Training will be amended when the weather conditions reach the limits set out in “When is the Sun and Hot Weather Policy applied?”
Outdoor Fitness and/or conditioning sessions
Between 1 October and 31 March, all outdoor exercise sessions MUST be completed by 10.30am.
Coaches and Team Managers MUST provide sun-block (30+ SPF) for players and must ensure it is applied to all players (or be assured by the player or parent that it has already been applied).
Protective clothing must be worn at all times. (See “Protective Clothing” below.)

STAFF
Conducting School Clinics Outdoors
The Club will not conduct outdoor clinics between 1 October and 31 March at any schools
Between 1 April and 30 September, the Club will ensure that the school provides sun-block for all participants and will ensure protective clothing is worn at all times.

VOLUNTEERS
Volunteers will not be asked to work outside between 1 October and 31 March unless suitable shade and protective clothing (as noted below for staff conducting training of coaching outdoors)

PROTECTIVE CLOTHING
Protective clothing for volunteers, junior and senior players and coaches undertaking outdoor sessions/work is:-

  • sunscreen,
  • sunglasses,
  • wide brimmed hats (not baseball or other cap),
  • appropriate footwear (ie sports shoes if running, covered footwear if cooking),
  • t-shirts (not singlet) and
  • shorts, skins or bike pants which at least cover the thighs.

Protective clothing for people in stores roles (indoor) is:-

  • long trousers,
  • long sleeve shirts and
  • gloves (when handling any objects which have sharp edges or corners)

Protective clothing for people in food handling roles is:-

  • hair covering (net or cap) – indoor,
  • wide brimmed hat – outdoor and
  • plastic food handling glove when directly handling unwrapped food


When is the Policy applied?
The weather conditions which cause this policy to be implemented are listed below:

1-Extreme Heatwave Estimated temperature on day of training is 38° or higher and the temperature has been 35° or higher for a period of five days or longer prior to the day of training. Modified training Training cancelled

3-Heatwave For a period of five days or longer (including the day of training) the temperature has been 35° or higher. Modified training Modified training

Estimated Temperature
The estimated temperature is the estimated temperature two (2) days prior to the day of training.
What is Modified Training?
Modified training times allow for all training to be completed by 11.00am on Sundays and to start from 7.00pm on week nights.
When the Modified Training system is in place, sessions will run for 60 minutes only with the following restrictions

  • FIVE (5) drink breaks will be provided (ie one every 10 minutes)
  • no more than two (2) 10 minute drills in the session are to be devoted to either running or competitive work (one-on-one or team-on-team). The two drills MUST NOT be consecutive.

Senior training
Senior coaches may choose to conduct additional shortened sessions during hot weather or conduct early morning sessions of normal duration that are completed by 10.00am.
Sunday training session times
8.30am session advanced to 8.00am
10.00am session advanced to 9.00am
11.30am session advanced to 10.00am
Weeknight training session times
6.00pm session delayed start to 7.00pm
7.30pm session delayed start to 8.00pm
Individual sessions
Individual sessions can occur after 11.00am on a modified training day but must:-

  • be shortened to 30 minutes each
  • have at least one drink break and
  • focus on shooting or passing only.


Responsibility for implementing and how to notify?
Coaches
It is the coach’s responsibility to apply this policy when the weather conditions reach those specified above.
Coaches MUST notify players (and parents) at the game prior to the Sunday training of the application of this policy.
Coaches MUST notify players (and parents) two days prior to the week night training.

Basketball Manager
The Basketball Manager will notify all coaches and team managers when the policy will apply. Coaches are NOT to wait for the Basketball Manager to decide to implement the Sun and Hot Weather policy.
The Basketball Manager will be responsible for assisting the Convenor of the Basketball Operations Sub-committee to monitor adherence to this policy.

Vice President, Basketball Operations Sub-committee
The Convenor of the Basketball Operations Sub-committee will be responsible for monitoring adherence to this policy (within the sport part of the club) in conjunction with the Basketball Manager.

Staff
Staff are responsible for maintaining a safe and healthy work environment for themselves and others as provided under the Occupational Health Safety and Welfare Act (SA) 1986.

President
The Club President, with the Board of Directors Committee is responsible for monitoring adherence to his policy for staff and non-basketball volunteers.
